How did Programa fit into your project workflow? Were any features essential?

Programa has seamlessly become an integral part of our design process, particularly with our FF&E designer who works exclusively with Programma. While we haven't fully embraced all the storyboarding features, as we have our own visual systems in the studio, certain functionalities have proven essential to our workflow.

One standout feature is the software's capability to effortlessly integrate and gather information directly from websites, updating our FF&E charts quickly with great accuracy. This has streamlined our workflow significantly, allowing for quick and easy access to relevant data. The simplicity of this integration has facilitated a smoother transition from conceptualising a design to developing detailed plans.

Additionally, we've found that Programa serves as a valuable template for evolving concepts into detailed designs. It acts as a prompt, aiding us in sourcing items and considering necessary additions to the project scope. This flexibility within the software has contributed to our ability to adapt and refine our designs in a way that aligns with our creative process.

The introduction of Programa's client dashboard feature has been a game-changer for collaboration within our team and communication with clients. We've embraced the ability for clients to approve and reject finishes, appreciating the transparency it brings to decision-making. Initially, we raised concerns about the inability for clients to change their responses, especially in situations where preferences may shift. Programa addressed this concern by explaining that this limitation is intentional, preventing changes after a decision is made.

While we initially found this to be a potential challenge, ongoing discussions with Programa have revealed unexpected benefits. The inability to change responses has become a valuable asset in managing variations and tracking changes within a project. This feature ensures a clear and documented record of any alterations, streamlining our project management processes.

Moving from Excel to Programa, with its industry-specific formatting, has not only dramatically increased but also desperately improved the efficiency of our studio.

What were the challenges? How did you overcome these?

One of the primary challenges was the tight lead time for bespoke elements, which had to be completed within six weeks. To overcome this, we implemented meticulous planning and efficient project management. We prioritized key tasks, streamlined our processes, and coordinated closely with suppliers and craftsmen to ensure timely delivery without compromising on quality.

It was essential that the space did not feel intimidating or overwhelming to visitors. To address this, we focused on creating a warm and welcoming environment. We incorporated a balanced mix of colors, textures, and materials to add depth and character, ensuring the space felt approachable and comfortable.

We started with a whitewashed, featureless space, which initially posed a significant design challenge. Understanding that the rotunda's skylight would be the focal point, we designed the entire space around this feature. The skylight became a central element, bringing in natural light and creating a dynamic interplay of light and shadow. This allowed us to build a cohesive design that emphasized openness and flow, while the bespoke bar and strategically placed elements added layers of interest and functionality.

What feedback did you get on Programa? Did its use evolve during the project? 

The initial introduction of Programa into our studio was met with some reluctance, as is typical with the adoption of any new software. Learning a new program requires an investment of time before the efficiencies become evident in daily practice. The feedback we initially received was centred around the internal adjustments needed in our behaviours and information collation processes. It was more about changing our internal workflows, akin to learning a new language.

As a team, we collaborated and provided feedback to Programa, reaching out for support and clarification as needed. The responses we received were not only helpful but also contributed to an ongoing evolution of the system. Programa has been responsive to the feedback from designers like us, adapting and refining the software to better meet the needs of its users.

While the initial feedback focused on the learning curve and behavioural shifts, we've witnessed a positive evolution in our use of Programa throughout our projects. Programa has played a critical role in the success of our projects over the last 12 months. During this period, we've observed a significant increase in the overall productivity of our studio. The efficiencies in updating and managing information have seen a rapid improvement, allowing us to streamline our project management processes.

Looking back on past projects with the knowledge and efficiencies gained through the use of Programa, we are enthusiastic about the positive impact it has had on our workflow.
